1. About This Policy

This Privacy Policy explains how RIDE Indoor Cycling — operated by RIDE Holdings LLC and its operating subsidiaries RIDE Indoor Cycling (Austin) and RIDE Houston (Houston) (collectively, “RIDE,” “we,” or “us”) — collects, uses, and shares information about you when you use our website, mobile app, or booking platform; create an account; book or take classes; or visit our studios.

It applies to information we collect through our website at www.ride-indoorcycling.com, our online booking platform (operated by Mariana Tek), our mobile app, in-person interactions at our studios, our security cameras, and any photography or video we capture for marketing. It does not cover information you provide directly to other companies, including social media platforms or websites we link to.

By using our services, you confirm you have read this policy.

2. Information We Collect

We collect the following categories of information:

Contact and account information — your name, email address, postal address, phone number, date of birth, account credentials, profile preferences, and emergency contact information you choose to provide.

Transaction and class history — class packs and memberships you purchase, classes you book, attend, or cancel, and waiver acknowledgments.

Payment information — when you make a purchase, payment card details are collected and processed by our third-party payment processor. We do not store full card numbers; we keep only a token and limited information (card type, last four digits) for identifying the payment method on file.

Device and online activity information — when you use our website or app, we automatically collect IP address, browser type, operating system, pages viewed, and similar information through cookies and other tracking technologies.

Communications preferences — your subscription status for marketing emails and text messages, and records of communications between us.

Video and audio surveillance recordings — described in Section 7.

Photographs and video for marketing — described in Section 8.

We do not collect heart rate, power output, or other biometric performance data. We do not knowingly collect Social Security numbers, government identification numbers, financial account numbers, precise geolocation, or other categories of “sensitive personal information” as defined under Texas law.

3. How We Use Your Information

We use your information to:

create and maintain your account; process class bookings, cancellations, and payments; manage waiver acknowledgments and emergency contact records; respond to your inquiries; send you transactional communications about your bookings and account; deliver marketing communications you have opted in to receive; improve our website, classes, and services; protect the safety of our members, employees, and property; comply with legal obligations including tax, accounting, and recordkeeping; and exercise and defend legal claims.

4. Who We Share Information With

We share information with:

Service providers that perform services on our behalf, including our booking platform (Mariana Tek), payment processor, marketing email and SMS providers, website hosting and analytics providers, and professional advisors. These providers are contractually limited to using your information for the purposes for which we engaged them.

Affiliates — RIDE Holdings LLC, RIDE Indoor Cycling, and RIDE Houston share information with each other for unified account management and consistent service across our studios.

Law enforcement and others when we are required to disclose information by subpoena, court order, or legal process; to enforce our agreements; to protect the rights, property, or safety of RIDE, our members, or others; or in connection with an investigation. In the event of a serious incident, video and audio recordings may be shared with law enforcement.

A successor entity if RIDE is involved in a merger, acquisition, financing, or sale of assets.

We do not sell your personal information.

5. Cookies and Online Tracking

Our website uses cookies and similar technologies to operate the site, remember your preferences, analyze how visitors use the site, and support advertising on other websites. You can control cookies through your browser settings; disabling some cookies may affect site functionality.

6. Email and Text Message Communications

Email is our primary channel for both transactional and marketing communications.

Transactional emails — class confirmations, reschedule notifications, billing notices, and other account messages necessary to provide our services — are part of the service and are sent regardless of marketing preferences.

Marketing emails — promotions, class announcements, instructor news, and studio events — are sent only to members who have opted in. You can opt out at any time through your account settings on our website or in the app, by clicking the unsubscribe link in any marketing email, or by contacting us.

Text/SMS. We send text messages only to members who have opted in to receive them. We obtain prior express written consent before sending marketing texts, and we do not send transactional messages by text. You can opt out at any time through your account settings or by replying STOP to any message. Standard message and data rates from your carrier may apply.

7. Video and Audio Surveillance in the Studio

For the safety of our members, employees, and property, we use video security cameras in non-private areas of our studios, including the entry, lobby, front desk and retail area, and the studio floor. Some systems may capture audio along with video where permitted by law and where notice is posted at the studio entrance. Recording equipment does not operate in restrooms, locker rooms, or any other area where members or employees have a reasonable expectation of privacy.

Recordings are retained for thirty (30) days in the ordinary course and may be retained longer in connection with an incident, investigation, claim, or legal hold. Access is limited to authorized personnel responsible for security and incident review, and to law enforcement or legal counsel when required.

8. Photography and Video for Marketing

From time to time, we photograph and film classes, members, instructors, and the studio environment for use in our marketing materials. Members may appear in these images. Our Terms of Service include a release authorizing this use.

If you do not want to appear in marketing photography or video, you may opt out at any time by requesting an opt-out wristband at the front desk before class. Wear the wristband for the duration of any class you do not want to be photographed or filmed in, and our staff will exclude you from materials produced from that class. The opt-out applies only to images captured after you begin wearing the wristband; materials already produced and in distribution cannot be recalled.

We do not use identifiable images of minors in marketing materials without separate written parental consent.

9. How Long We Keep Information

We keep your information for as long as your account is active and for the period necessary to comply with legal obligations and resolve disputes.

Account and transaction records are stored within our booking platform (Mariana Tek). Tax, accounting, and contract-claim limitation periods under Texas and federal law require us to retain transaction records for at least seven (7) years following the last transaction or account closure. Surveillance recordings are kept as described in Section 7.

10. Data Security

We use administrative, technical, and physical safeguards designed to protect your information from unauthorized access, use, alteration, and disclosure. Payment card information is processed by a PCI-DSS-compliant payment processor and is not retained on our systems beyond the limited token information described in Section 2. No system is completely secure, and we cannot guarantee the security of information transmitted to or stored by us.

If you believe your account or personal information has been compromised, contact us promptly using the information in Section 15.

11. Data Breach Notification

Most of your personal information is held within our booking platform (Mariana Tek), and Mariana Tek is contractually required to notify us promptly of any security breach affecting that data. If we determine that your personal information has been involved in a security breach that requires notification under Texas law, we will notify you without unreasonable delay and in any event within sixty (60) days. If the breach affects 250 or more Texas residents, we will also notify the Texas Attorney General as soon as practicable and not later than thirty (30) days after the determination, as required by Texas Business and Commerce Code §521.053. Notice will describe the nature of the incident, the categories of information involved, and the steps we are taking and that you can take in response.

12. Updating or Deleting Your Information

You can update your account information at any time through your account settings on our website or in the app, or by contacting us.

If you would like us to delete your account and the personal information we hold about you, contact us using the information in Section 15. We will request deletion of your customer record from Mariana Tek, which is supported on a per-client basis. We are required to retain transaction records for at least seven (7) years to meet tax and accounting obligations; those records will be deleted on the same per-client basis after that retention period expires.

13. Children’s Privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us so we can delete it.

Members under 18 may participate in classes only with parental consent and a signed parental waiver, as described in our Terms of Service. We do not use identifiable images of minors in marketing materials without separate written parental consent.

14. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date at the top of this policy and, for material changes, provide additional notice by email or a notice on our website. Your continued use of our services after a change to this policy constitutes acceptance of the revised policy.
